Terms & Conditions (Individual Headshot Bookings)
Definitions
- “The Service Provider” refers to White Rabbit Professional Services Pty Ltd, trading as The Headshot Studio.
- “The Client” refers to any individual booking a studio headshot session.
- “The Studio” refers to the physical location at Unit A042, The Palms Centre, 145 Sir Lowry Road, Woodstock.
Booking Confirmation and Deposit
A 50% non-refundable deposit is required to confirm a booking. A pencil booking will be held for 24 hours only. If the deposit is not paid within this period, the slot will be released. The balance is payable prior to delivery of the final retouched images.
Packages and Inclusions
Each package includes a specific number of retouched high-resolution images and a set session duration. Additional images, extra editing, or time extensions will incur additional charges. Please refer to our website for package details.
Cancellation and Rescheduling
Cancellations made more than 1 business week in advance are eligible for a refund of the deposit, less any costs already incurred. Cancellations within 1 business week forfeit 50% of the deposit. Cancellations within 2 business days forfeit 100% of the deposit. Rescheduling is allowed once, with at least 2 business days notice, subject to availability. Rescheduling with less than 2 business days notice may attract a R500 rescheduling fee.
Arrival and Preparation
The Client must arrive on time and ready for the shoot. Delays will shorten the session time. Styling, grooming, and wardrobe are the responsibility of the client unless professional services have been booked in advance.
Wardrobe and Grooming
The Client is solely responsible for their own wardrobe, grooming, and overall appearance during the shoot. The Service Provider will not be held liable for any issues related to the Client’s attire or grooming, including but not limited to improperly adjusted collars, open buttons, misaligned ties, or any other wardrobe or grooming imperfections that may appear in the final images. Clients are encouraged to thoroughly check their appearance before the session begins, as the Service Provider is not responsible for correcting these details during or after the shoot.
Image Selection and Delivery
Selection images are supplied as watermarked JPG images via Dropbox by the end of the next business day after the shoot. Final retouched images are delivered within 5 business days from the date of receipt of selections. Expedited delivery may be available at an additional cost but must be arranged in advance.
Image Format and Editing
Each package includes a specific number of retouched images, and the standard retouching included for each selected image is outlined on our website at headshots.capetown/headshot-retouching-and-editing.
Final edited images are delivered in JPG (sRGB) format. RAW and unedited files are not provided.
Each image is edited individually based on its unique needs. If the Client has specific requests beyond the standard retouching or that are the result of the Client’s inadequate preparation or grooming, these will be quoted and charged separately. All additional editing requests must be made at the time of image selection and may impact the turnaround time.
Usage Rights and Promotions
The Client is granted a personal-use licence for the images. The Service Provider retains full copyright and reserves the right to use the images for promotional purposes unless a written exemption is agreed in advance.
Consent and Releases
By attending the session, the Client consents to being photographed and agrees to the use of their images as described. The Client may request not to have their images used for promotional purposes.
Third-Party Service Providers
The Service Provider may, at the Client’s request, facilitate bookings with third-party hair and makeup stylists. In such instances, the Service Provider will collect payment from the Client and remit it to the third-party provider. However, the Service Provider does not assume any responsibility or liability for the quality, performance, or outcome of the services provided by these third parties. Any issues or disputes regarding hair or makeup services must be addressed directly with the third-party provider. The Service Provider acts solely as a facilitator and is not liable for any claims arising from third-party services.
Liability and Indemnity
While every care is taken, the Service Provider is not responsible for unforeseen events, technical issues, or force majeure. Liability is limited to a refund of monies paid. Clients waive all claims against the Service Provider for any issues arising from participation.
Acceptance of Terms
By booking a session, the Client acknowledges that they have read, understood, and agree to these Terms & Conditions.
Governing Law
This agreement is governed by the laws of the Republic of South Africa. Any disputes will be subject to the jurisdiction of South African courts.
